1.1 Account Information

When you purchase a license, we collect:

• Name and email address
• Payment information (processed by our payment provider; we do not store full payment details)
• Login credentials (password stored in encrypted form)

1.2 Usage Data

We automatically collect:

• Number of quotes generated
• Feature usage patterns
• Login timestamps and session duration
• Device type and browser information
• Error logs for troubleshooting

1.3 Quote Data

We distinguish between two types of quote-related information:

Customer Information (NOT STORED):

Customer details you enter to generate quotes—including names, addresses, property details, phone numbers, and coverage amounts—are processed in real-time and are NOT stored on our servers.

This customer data:

• Is transmitted securely to generate your quote
• Is processed in memory only
• Is discarded immediately after quote generation
• Is never written to our databases
• Is never used for marketing or sold to third parties

Quote Activity Statistics (STORED):

We do store anonymized usage statistics to power features like the Team Dashboard, including:

• Number of quotes generated per user
• Timestamps of quote generation
• Quote types and categories used

These statistics contain NO customer personally identifiable information (PII). They are used solely to provide dashboard functionality and usage analytics.

2. HOW WE USE INFORMATION

2.1 Account Information

We use your account information to:

• Provide access to the Software
• Communicate service updates and important notices
• Process payments and manage your license
• Respond to support requests

2.2 Usage Data

We use usage data to:

• Improve Software performance and features
• Identify and fix bugs
• Understand how the Software is used
• Generate anonymized, aggregated analytics

2.3 Quote Data

Quote data is used solely to:

• Generate the quote you requested
• Display results to you in real-time

We do not use quote data for any other purpose.

3. ARTIFICIAL INTELLIGENCE AND DATA PROCESSING

3.1 AI API Usage

The Software uses artificial intelligence APIs to assist with data extraction and quote generation. These AI services:

• Do not train on your data. We use enterprise AI APIs with data processing agreements that prohibit training on customer inputs.
• Process data transiently. Data sent to AI APIs is processed in real-time and not retained by the AI provider.
• Are subject to strict data handling. Our AI providers are contractually bound to delete input data after processing.

3.2 AI Limitations

AI-generated outputs may contain errors. You are responsible for verifying all information before use. See our Terms of Service for complete disclaimers.

3.3 Data Transmission

When you use the Software:

1. Your input is encrypted in transit (TLS/SSL)
2. Data is sent to our secure servers
3. Relevant data is processed via AI APIs under enterprise agreements
4. Results are returned to you
5. Input data is discarded—not logged, not stored

4. INFORMATION SHARING

4.1 We Do Not Sell Your Data

We do not sell, rent, or trade your personal information or customer data to third parties for marketing purposes.

4.2 Service Providers

We share limited information with service providers who assist our operations:

All service providers are contractually required to protect your information and use it only for the specified purpose.

4.3 Legal Requirements

We may disclose information if required by law, court order, or government request, or to protect our rights, safety, or property.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the successor entity.

5. DATA SECURITY

5.2 No Guarantee

No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

5.3 Your Responsibilities

You are responsible for:

• Maintaining the confidentiality of your login credentials
• Logging out of shared or public devices
• Notifying us immediately of any unauthorized access

6. DATA RETENTION

6.1 Account Data

We retain your account information for as long as your license is active, plus a reasonable period afterward for legal and business purposes.

6.2 Usage Data and Quote Statistics

We retain:

• Anonymized usage data (feature usage, login times) indefinitely for analytics
• Quote activity statistics (counts, timestamps, categories) to power dashboard features

This data contains no customer PII.

6.3 Customer Quote Data

Customer information entered during quote generation is NOT retained. It is processed in real-time and immediately discarded. We do not store customer names, addresses, property details, or other PII from your quotes.

6.4 After Termination

Upon license termination or account deletion:

• Your account information will be deleted within 30 days
• Quote activity statistics associated with your account will be deleted
• Anonymized, aggregated usage data may be retained
• Backup copies may persist for up to 90 days before automatic deletion

7. YOUR RIGHTS

7.1 Access and Correction

You may access and update your account information by logging into your account or contacting us.

7.2 Deletion

You may request deletion of your account by contacting us at dale@beaconai.ai. We will process your request within 30 days.

7.3 Data Portability

You may request a copy of your account information in a portable format.

7.4 Opt-Out

You may opt out of non-essential communications by clicking "unsubscribe" in any email or contacting us.

7.5 California Residents

If you are a California resident, you have additional rights under the CCPA, including the right to know what personal information we collect and the right to request deletion. We do not sell personal information as defined by the CCPA.

8. COOKIES AND TRACKING

8.1 Essential Cookies

We use essential cookies to:

• Maintain your login session

• Ensure Software functionality

8.2 Analytics

We may use anonymized analytics to understand usage patterns. These do not track you across other websites.

8.3 No Third-Party Advertising

We do not use advertising cookies or allow third-party advertisers to track you through our Software.

9. CHILDREN'S PRIVACY

The Software is intended for licensed insurance professionals. We do not knowingly collect information from anyone under 18 years of age. If we learn we have collected information from a minor, we will delete it promptly.

10. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. Changes will be:

• Posted on this page with an updated effective date
• Communicated via email for material changes

Your continued use of the Software after changes constitutes acceptance of the updated policy.
